Kaptan Defteri is an appointment and client management product built for businesses that run on appointments. For clinics, counselling centres, therapy and specialist practices: the customer website and the management panel in one product. Your customer sees the website published under your brand and leaves a request with the Request Appointment button. Your team works in the panel: the next ten appointments, the monthly breakdown by therapy type and the pending pre-appointments at a glance. In this video we will go through the ten modules one by one. A request left on the website appears in the panel within seconds; a session entered in the panel shows up in the client's own account at the same time. The weekly calendar shows every specialist's sessions side by side; the Psychologist filter narrows it to a single calendar. The Today button brings you back and the arrows move a week back or forward. A specialist account works in its own calendar and opens another specialist's read-only. Each card shows the client's name, the time slot, the specialist and the therapy type; if payment is outstanding a Payment Pending badge appears. Clicking an empty time slot opens the new session form; an existing card can be edited or turned into a recurring series with the chosen package. The Upcoming Appointments list pages through session count, client, psychologist, date and status, and filters on the same fields. The visitor fills in the Request Appointment form on the website: name, e-mail, phone, appointment type and the data-protection consent. The moment it is sent, the request lands in the panel and a We received your request e-mail goes out to them. In the panel's Pre-Appointments list each request shows as Unread, Read or Converted to Client; the pending count sits in the top bar and the menu. In the Process window you pick the specialist, therapy type, number of sessions and the interval; the system creates the client record and writes the sessions to the calendar. If you prefer, you leave the date choice to the client, and you mark the payment as received right here. A single-session package asks for no interval; a multi-session package produces a weekly or monthly plan. The default session length is forty-five minutes. Every specialist has a profile, a panel account and a calendar. The Status and Published columns show whether the specialist is active and whether they appear on the website. The row buttons open the specialist's appointments and send a password-reset e-mail; when a specialist leaves, their clients are handed over to another. The profile feeds the Our Team page on the customer website, with the title and introduction in Turkish and English. The client list is paged and searched on the server; every record carries phone, e-mail, the date added and the responsible psychologist. Share lets a second specialist see the client; Transfer changes the responsible specialist. The calendar button opens all of the client's sessions. When a new client is added, a password is generated automatically and a welcome e-mail goes out. A specialist account sees only its own and shared clients. The client also has their own account on the website: they see their sessions under My Appointments and pay a pending package by card. You define your services as therapy types; the Turkish and English names, package and appointment counts, and active or passive status are in the list. Each type gets packages with a session count and a price: single session, four sessions, eight sessions. A package used in an appointment cannot be deleted, so past records stay consistent. Payment can be taken from the client's website account with 3D Secure. Every step of the appointment cycle produces a notification: request received, appointment created, reminder, update, cancellation, welcome, password reset and payment. You edit the templates in the panel; placeholders such as client name, specialist name and date are filled with real values when sent. The e-mail log shows who received which message and when: recipient, subject, template and status; a failed delivery keeps its error message on record. Outgoing e-mails carry the business name and logo in the header. If no mail server is configured the record is kept as skipped, so no delivery vanishes silently. Text messages are templated the same way; the history shows the recipient number, status and the provider's response. The contact form on the website writes straight into the panel. Unread messages show in red, read ones in green; the pending count sits on the envelope icon in the top bar. In the message detail, clickable e-mail and phone links let you reply quickly. Kaptan Defteri is not only a panel; it brings an SEO-ready customer website under your brand, in Turkish and English: home, about, team, services, blog, contact and the appointment form. The SEO groundwork comes built in: page title and meta description, canonical address, Open Graph tags and an automatically generated sitemap. Service content is managed from the panel: language, title, description, cover image and status; inactive content does not appear on the site. Blog posts are entered in the same place, and the web address is generated automatically. Site Settings brings together the logo, favicon, site name, meta description, slogan, address and map code. On the colour theme tab you pick a ready-made palette or enter your own colours; the preview updates instantly and the theme applies to both the website and the panel. Administrator, receptionist and specialist accounts sign in to the same panel, each with their own permissions. Permission roles are menu based: each role defines which screens it sees. A new user sets a password from the invitation e-mail, and the account opens after e-mail verification. Kaptan Defteri can work integrated with Kaptan Köşkü, so appointment and client data meets the rest of your business processes in the same ecosystem. Customer website, management panel and client account in one product; the infrastructure is fully in the cloud, and the e-mail, SMS and payment keys stay on the server only.
