Session & Package Entitlements

Follow a package of sessions sold to one person from the sale through to the final appointment. Selling the package creates the entitlements automatically; they become bookings on the calendar, drop as attendance is taken, and the remaining balance stays visible throughout. The model is sector-agnostic: twelve voice lessons at a music academy, ten physiotherapy sessions at a clinic and eight coaching sessions at a consultancy all run on the same structure. Postponements, transfers, gift and make-up sessions are tracked separately, and capacity is reported as both forecast and actual.

Key capabilities

Package Definition

Each package carries whether it is one-to-one or group, its discipline, its segment and how many people it may hold. Sessions can be split across provider tiers — nine of twelve delivered by a senior provider and three by an assistant, for instance.

Entitlements Created on Sale

Selling a package creates the buyer’s entitlements immediately; nobody has to open them by hand. Balances are held per tier, so every session is drawn from its own tier and “senior sessions used up, assistant sessions still available” stays plain to see.

Scheduling Calendar

Book the session, the provider and the room together. Provider, room and attendee clashes are blocked as you schedule, so a double booking never surfaces on the day of the session.

Attendance and Accountability

The provider normally takes attendance; if they are away, the scheduler can take it instead. Who recorded it and when stays on the record, and the entitlement is consumed from that record.

Postponement Tracking

Postponements are separated by cause — the organization, the provider or the attendee. An organization-driven postponement never consumes the attendee’s own postponement allowance, so a session that falls on a holiday costs nobody a right.

Transfers, Gift and Make-up Sessions

Transferring an entitlement to another person, gifting a session and running a make-up session are tracked as distinct events. They never appear as sales in revenue reports, yet they do count towards capacity, because the room and the provider are genuinely occupied.

In Person and Online

Delivery method — in person or online — is its own field, independent of the provider’s category. The same person can deliver in person one day and online the next, and reporting keeps the distinction.

Capacity and Utilization

Defined staff, rooms and working hours produce the capacity forecast for the period; actual sessions from attendance are set against it. Idle capacity shows up while the period is still running, not after it closes.

Package Running Out

As the remaining balance nears its threshold, a warning is raised and a renewal reminder lands on the list. The last session of a package never slips past unnoticed.
